Syncing Classes via MIS Integration (Wonde)

This guide is intended for Showbie Admins who have already enabled the Showbie MIS integration through Wonde, and who have already reviewed and synced their teacher and student accounts.

Getting Started with Class Sync

Class sync lets you create new Showbie classes directly from the classes and groups already set up in your MIS (school management system) - so you don't have to build them by hand and manually add every teacher and student.

🔄 The sync refreshes once daily at 9:00 PM UK time. Any changes you make in your MIS won't appear in the class review workflow until the next sync runs.

Class sync only creates new classes

Class sync can create new Showbie classes from your MIS class and group records. It can't connect a Showbie class you've already created to an MIS record - so in order to have a Showbie class with a synced roster, you'll need to create a fresh one through the review workflow below.

You need synced teachers first

A class can only be created if it has at least one synced teacher. If none of a class's teachers have been synced yet, that class will not be created. This is why we recommend completing your teacher review before starting your class review.

You can only run one review at a time

You can review and sync teachers/students, or classes/groups — not both at the same time. If you start a class review, finish or exit it before starting an account review, and vice versa.


Reviewing Your Data

You are able to create Showbie classes out of both Class and Group records in your MIS. They are reviewed in two separate steps.

Step 1: Review Classes

Review each class record and set a Pending Action:

  • Create New Class — this class will be created as a new Showbie class once you approve the sync.

  • Do Not Sync — this class won't be created right now. It stays available to sync later, so you can come back to it at any time.

Classes must include at least one synced teacher in order to be created.

Step 2: Review Groups

Review each group record the same way, setting Create New Class or Do Not Sync for each.

*Note: Only groups with type REGISTRATION or YEAR GROUP are available to sync in Showbie.

Step 3: Confirm Details

Before you finish, you'll see a summary of what's about to happen:

  • Create [#] class(es) as new Showbie classes — once the sync completes, teachers will be added automatically, and students will be added as "awaiting approval" (as long as they're already synced Showbie members).

  • Create [#] group(s) as new Showbie classes — same as above, for groups.

  • Do not sync [#] record(s) — these MIS records won't be created as Showbie classes, and will be marked as reviewed. They'll remain available to sync later if you change your mind.

Select Approve & Start Sync to confirm and create your new classes.


Synced Classes

Once a class is synced, membership changes made in your MIS will continue to be reflected in Showbie automatically going forward.

Synced Classes in the Admin Dashboard

Synced classes appear in your Classes tab with sync arrows beside the class name. Clicking on the class name will bring you to the Class Overview, where you will see the connected members (this includes students who may be pending approval).

*Note: The student count in the class row does not include students who are pending approval.

Class Membership

Synced class members are added automatically, but only for accounts that are already a Synced Member or Pending account in Showbie:

  • Teachers who are synced or pending members are added to the class automatically.

  • Students who are synced or pending members are added to the class as awaiting approval, so the teacher can prepare the class ahead of time, and approve students when they're ready.

Teachers or students who haven't been synced yet won't be added automatically. If a teacher or student is missing from a newly created synced class, it's almost always because their account hasn't been synced yet. Once you sync their account (via the account review workflow), they will be added to the class going forward.

Alternately, you can still manually add members to a synced class using a class code, just like with any other Showbie class (for example, to add a new student whose account isn't yet synced).

Editing a synced class name

You can still rename a synced class in Showbie whenever you like. However, Showbie doesn't keep a record of the original MIS name once you rename it, so if you rename your synced classes, we'd recommend picking a naming convention that still lets you trace a class back to its MIS record (for example, keeping the MIS class code somewhere in the name). This makes it much easier for your team - or Showbie Support - to help identify which Showbie class corresponds to which MIS record later on.

What changes for teachers in a synced class

A few things behave differently in a synced class compared to a regular one:

  • Subject is locked. If the class has a subject from your MIS, teachers will see a small lock icon next to the Subject field in Class Settings, with a hover-over description explaining that it's controlled by your MIS record and can't be edited in Showbie.

  • The class can't be archived while it's synced.

  • Synced teachers and students can't be blocked or removed from the class by the teacher.

  • Synced members can't leave the class — this applies to both teachers and students.


Frequently Asked Questions

Can I sync an existing Showbie class to a class or group in my MIS?

No - class sync can only create new Showbie classes from your MIS records. You can't connect an already-existing Showbie class to an MIS class or group.

Why isn't a class showing up as available to create?

Classes or groups with no teacher members in your MIS aren't available in the review steps.

A teacher or student is missing from a class I just created - why?

Only teachers and students who are already synced (or pending) in Showbie are added to a class automatically. If someone's missing, check whether their account has been synced yet. You can always add them to the class manually with a class code in the meantime.

Can I add non-synced teachers or students to a synced class?

Yes. Only synced/pending accounts are added automatically during the sync, but you can always manually add other members afterward using a class code.

If I mark a class or group "Do Not Sync," is it gone for good?

No - it stays available in the review workflow, and you can come back and create it as a Showbie class at any time.

Can I review classes and accounts (teachers/students) at the same time?

No, only one review/sync can be in progress at a time. Complete one before starting the other.

If I rename a synced class, will it sync back to the original MIS name?

No. Class names only sync once, at creation. After that, you can rename the class freely, but Showbie won't save or restore the original MIS name, so choose a naming convention that keeps it identifiable.

Can a teacher remove a synced student or teacher from a synced class, or leave the class themselves?

No. Synced members can't be blocked, removed, or leave a synced class — this reflects your MIS records and is managed by syncing changes there instead.
