Student Portfolio
Student Portfolios allow teachers to save students’ best work from year to year. When enabled, both teachers and students can choose what to add - including:
Files
Photos
Voice notes
Perfect or standout grades
This creates a meaningful collection that highlights progress and success over time.
Parents also have access to their child’s portfolio, helping them stay up to date with their child’s best work. Teachers can use the portfolio as a helpful reference when preparing for parent meetings or discussions.

Viewing the Portfolio
Showbie portfolios are organized chronologically, based on the date each piece of work is added and can be assorted by ascending or descending date. Teachers can only view student work that has been submitted through classes they teach.
How to View a Student Portfolios
Sorting and Grouping the Portfolio
The portfolio view can be grouped by Class, Subject, or Year Group.
Use the Group option in the top navigation of a student’s portfolio to change how items are organized and displayed.
Changing a class’s settings affects how portfolio items are grouped. Updating the class name, subject, or year group will change how saved items appear in the portfolio.
Adjusting Student Portfolio Settings
The Student-Led Portfolios setting allows students to add their own submissions from a class directly into their portfolios.
Teachers can still add files to student portfolios at any time, regardless of this setting.
To turn Student-Led Portfolios on or off:
Tap your class.
Tap the Settings menu.
Tap Settings.
Tap the slider to switch Student-Led Portfolios on or off for that class.
Tap Save.
Viewing an Assignment from the Portfolio
In a student’s portfolio, teachers and co-teachers can quickly navigate to the original class and assignment where a saved document or comment came from.
This feature is only available to users who have access to the class and assignment.
Go to Assignment on iPad
Tap Students in the top tab.
Select a student to view their portfolio.
Tap and hold a saved document or comment.
Select Go to Assignment.

Go to Assignment on Web
The steps are the same as on iPad. Instead of tapping and holding, click the three-dot menu in the top-right corner of a saved item.
The icon appears when you hover your cursor over the item.
Adding Work to Portfolios
You can add work to portfolios in two ways – either from the assignment itself or from in the file viewer toolbar.
Adding to Portfolio on iPad: From within an Assignment
Open a student’s assignment.
Tap and hold on a document or post.
Tap Add to Portfolio.
Alternatively, you can swipe left on the document or post to reveal a star button that will also add it to the portfolio.
From within a Document
Open a document within a student’s assignment folder.
Tap the star icon in the top menu to add it to the student’s portfolio.
Tap the star icon again to remove it from the portfolio.
Adding to Portfolio on Web
Open a student’s assignment.
Hover your cursor over a post or document.
Click the 3-dot icon that appears on the right.
Click Add to Portfolio.
Removing Work from Portfolios
Removing work from a portfolio does not delete the original file. It will still be visible and available in the assignment folder.
Students can only remove items from their own portfolios if they were the ones who added them.
Removing from the Portfolio on iPad
On iPad
Open a student’s assignment or portfolio.
Tap and hold the document or post you want to remove.
Tap Remove from Portfolio.
Alternative:
Swipe left on the document or post.
Tap the crossed-out star button to remove it from the portfolio.
Removing from the Portfolio on Web
Open a student’s assignment or portfolio.
Hover over the document or post you want to remove.
Click the 3-dot icon that appears on the right.
Click Remove from Portfolio.
Exporting Student Portfolios
Showbie makes it easy for students to celebrate accomplishments by downloading their entire portfolio to share with family and friends. Teachers can also export student portfolios by class, subject, or year group, allowing key work to be revisited and shared.
How to Export a Student’s Portfolio
Navigate to the student’s portfolio.
Click or tap the 3-dot icon in the top-right corner.
Select Export All to download the entire portfolio.
You will be asked if you'd like to include teacher's feedback, the student's work/annotations, and/or any shared instructions.
Downloading the Portfolio Export File
The Portfolio Export file will be prepared in the background, and a download button will appear at the top of their portfolio when ready. This may take a few minutes. You'll then have 24 hours to download the export file before it expires.
The export file is a ZIP container that will include either individual files or folders of files depending on how the portfolio is grouped in Showbie when exported. Up to 500 items can be exported at time and included in this file.
💡 If your Portfolio Export file is ready to download, the Export All option will not be selectable. You'll need to close the 'Your Portfolio Export is Ready' menu by tapping the X icon next to the Download button.
Exporting by Class, Subject, or Year Group
Use the Group icon in the top-left of the portfolio view to change document groupings to Class, Subject, or Year Group.
When viewing a specific class, subject, or year group, Export All will only include items from that level. For example, exporting from a particular class will include only that class’s items.
🚨If there are more than 500 items in the portfolio export, you'll need to select a folder within one of these groups such that there will be less than 500 items in the export file.
How Portfolios are Affected by Archiving or Deleting Classes
Depending on the state of the class, portfolio items may not be visible.
Saved items in a student portfolio can still be accessed after a class is archived or if a student is blocked from the class. However, deleting or locking an assignment will hide any saved portfolio items from that assignment.
