Intro to Data Retention
At Showbie, we understand that data retention policies play a crucial role in ensuring the privacy and security of educational institutions. Educators face varying expectations and regulations regarding data retention, which is why we prioritize flexibility in our approach and aim to cater to the unique requirements of schools across different countries and regions in our policies.
For Showbie Pro Users
To ensure compliance and respect the autonomy of schools, all Pro school or teacher data will be retained until the teacher, school, district, kommune, municipality, or trust (Data Controllers) action or request deletion of their data. This allows us to adapt to the individual preferences and regulations that schools may have regarding data retention. This also ensures that users are able to retain access to their data when using Showbie over long periods of time within an embedded implementation (such as students who utilize Showbie throughout their elementary school years). This applies to all Pro customer data (those using Individual or School & District subscriptions). Note that some aggregate and anonymized data may be retained for longer periods for legitimate business purposes. Read more about the impacts of account deletion here.
As a interim measure, Pro customer data that has been inactive for 2 years may be deactivated (the user will be blocked from logging into their account) to assist schools in focusing their management efforts only on current, active accounts, and to ensure that school-owned data is not accessible to users for longer than is necessary. Administrators can choose to manually deactivate teacher accounts from within their Admin Dashboard. Administrators may choose to either delete or reactivate a deactivated user at any time. In future, the same deactivation and deletion abilities will be available to perform on student accounts as well.
For Showbie Basic Users
For those using Showbie Basic, we maintain a minimum retention period of two years and we are currently implementing new automated deletion routines in accordance with this policy. Accounts that have not been logged into for more than 2 years are considered "stale" and will be queued for deletion to ensure user data is not retained for longer than necessary. Users who were previously upgraded to Pro and do not maintain a Pro subscription will also become eligible for stale user deletion once they have been inactive for 2 years following the reversion of their account from Pro to Basic**. Prior to deleting any stale user accounts, the accounts will be deactivated for 30 days to block the user from logging in in order to provide additional time in which the user may protest their pending account deletion. We will attempt to notify the user via email prior to the deactivation so that the user may protest the deletion process. If no attempt is made to protest the deletion, either via response to our notification emails or via contacting support@showbie.com, the stale account will be deleted.
