Share, edit and collaborate on Assessments in Showbie

Assessment Libraries allow educators to create, organize, and collaborate on assessments in a shared workspace. Whether you're planning lessons with a co-teacher, working within a department, or sharing resources across your school, Assessment Libraries help your team build and manage assessments together.

Why use Assessment Libraries

With Assessment Libraries you can:

  • Collaborate on assessments with colleagues

  • Organize assessments in folders

  • Invite members using an email invite or join code

  • Control who can view or edit content with member permissions

  • Keep assessments up to date in one shared location.

Create an Assessment Library

  1. Open your current Assessment Libraries by selecting Assessments in the top navigation bar.

  2. Select + Join or Create Library.

  3. Enter a name for your library and select Create Library.

The person who creates the library becomes its Owner. Owners can manage members, change settings, rename the library, and delete it if needed.

Add Assessments

After creating your library, you can begin adding assessments for your teaching team. To add assessments, navigate to your Assessment Library and select Add Quiz.

Choose one of the following options:

💡Tip: You can also organize assessments into folders for easier navigation.

Rename an Assessment Library

  1. Open the library.

  2. Select Settings.

  3. Enter a new name.

  4. Select Update.

✍️ Note: the name of the assessment library will be modified for all members.

Assessment Library Settings

Library Owners and Admins can configure how the library is shared and managed by opening the Settings tab.

✍️ Note: settings apply to the entire Assessment Library and affect all members.

As a Library Owner, the following options are available to be toggled on or off:

Enable or disable Sharing for all assessments in the library.

  • Enabled: sharing can still be disabled for individual assessments.

  • Disabled: sharing cannot be enabled for any assessment in the library.

Hide Member List

Prevent Viewers from seeing the list of library members.

Member Invites

Choose whether Everyone or Admins only can invite new members.

Download Quiz & Answer key

Allow or prevent members from downloading or printing assessment content and Answer key.

Copy to Personal Library

Allow or prevent members from copying assessments to their Personal Library.

Copy to Another Library

Allow or prevent members from copying assessments into another shared library.

Delete Library

Deleting the library will irreversibly delete all its quizzes and disband members.

Official Library

Mark this library as your organization’s approved content, visible to teachers when browsing and launching. Editing is locked to keep content consistent across your organization.

✍️ When Read-only Mode is enabled, a banner appears within the library to let members know editing has been restricted. Read-only Mode does not change the assigned roles of members. Read-only quizzes can still be launched by teachers in their classes.

Invite Members to your Library

Invite colleagues to collaborate by opening the library and selecting:

Members → Invite

Choose the permission level you want to assign before copying and sharing the invitation link. Members can join using either:

  • the invitation link

  • the library join code

When inviting Members, you can choose the role you want them to have:

  • Admin – manages content, members and settings

  • Editor – creates and edits library content

  • Viewer – can view and launch assessments but cannot edit them

💡 Each Assessment Library supports up to 150 Admins and Editors combined, and up to 10,000 Viewers. Each user can belong to up to 20 Assessment Libraries.

Member Roles

Once your colleagues have joined, you can view them within the 'Members' tab in your Assessment Library. Here, you can manage the access level for each Member of your library by selecting the dropdown menu underneath 'Access Level.'

✍️ Your role in an Assessment Library is separate from your Showbie account permissions. You can have different roles in different libraries.

Owner

Create, edit, organize and delete assessments, manage all members and settings, transfer ownership, rename or delete the library.

Admin

Create, edit, organize and delete assessments, invite and manage members, change member roles, and update library settings.

Editor

Create, edit, organize and delete assessments. Can invite members if permitted. Can view library settings.

Viewer

View and launch assessments. Cannot edit library content. Can invite Viewers if permitted.

To Change a Member's Role:

  1. Open Members.

  2. Locate the member.

  3. Use the Access Level dropdown to select a new role.

💡 Assessment Libraries can have multiple Admins, allowing several people to manage content, members and settings. This helps distribute ownership and ensures library management doesn't rely on a single person.

Remove a Member

When removing a member from a Assessment library, they lose access to all assessments in the library as well as all reports from assessments in that library. This means that removing a member immediately revokes their access to all assessment content from that library.

Admins can remove both other Admins and non-Admin members, while Owners can manage all members.

Join a Assessment Library

If you've been invited to a library, you can join by either:

  • selecting the invitation link you've received, or

  • selecting + Join or Create Library and entering the join code.

If you are not signed in to Showbie you will be prompted to sign in to your account first.

Leave an Assessment Library

You can leave an Assessment Library at any time from Settings.

Before leaving, Showbie will warn you that:

  • you'll lose access to each assessment in the library

  • you'll also lose access to reports for assessments launched from that library

Note that leaving a library does not delete the library or affect other members.

Delete your Assessment Library

As the creator of an Assessment Library, you can also permanently delete it. In your Assessment Library, navigate to Settings. Once there, at the bottom of the menu, you will see the option to delete your library.

🚨 Caution: deleting an assessment library is a permanent, irreversible action that will delete the Library for everyone it is shared with.
